The frequency and amount of information has become immense in our lives. How do you get a grip on your information flow and how do you apply the principle of “First Time Right”.
Data versus information
Data is the most raw basic form of data. Raw and often large files. An sich knows data give “informative” value. To do this, it must first be processed by means of analyzes in which the data is grouped according to specific characteristics.
Information can be a perception, representation of data in grouped information by means of reports. Information can be used directly by people. Interpretable. Information can also be instructions, models, algorithms or, for example, instruction sets for computers.
A lot of information comes in via emails. Regular messages between people as well as data files and reports. That information is then stored on the local disk or on the network disk. In almost all cases, this leads to duplication of the information. Both the sender and receiver have their copy. It is not uncommon for email servers to be completely full due to this way of information exchange.
Working in the cloud is a solution for this challenge. Information or data is no longer circulated but stored, edited and shared in a specific place. However, it often does not want to go smoothly with Cloud solutions.
Lack of discipline is a problem here. The traditional attitude of people to keep information with them also plays a role. Often the Clouds are also more difficult to reach compared to network drives. Slower browsers, load times. The most common frustrations among employees.
Also, the implementation of Cloud solutions is not properly guided. What are the benefits, how to use it. The adjustment of activities that is necessary to match the Cloud possibilities. The underlying problem with all this is that the complexity of the implementation is often underestimated.
Requirements for implementation.
The strategic benefit to the business is no longer disputed by organizations. It now comes down to a good transformation of your organization. Because this concerns business process redesign but also complete revision of the IT architecture.
It is important that Cloud means a different way of working is not only a tool for cost reduction, as is seen by many business managers. Because Cloud solutions touch all parts of your organization, it is important to design a Full Cloud business strategy. This provides the foundation to re-examine processes, procedures, cooperation, but also the hierarchical structure of your organization.
In doing so, one must take into account where the standard work is delivered and where customization is required, for example by applying SaaS solutions. Do not forget your suppliers and customers who must be able to connect to your Cloud solutions. Otherwise, you will remain on two minds and you will lose a significant part of the potential savings and efficiency improvements.
